Organizing Kapicon 2025 – From Editorials to Execution: My Learning as a Doctor

The recently concluded Kapicon 2025, the 42nd Annual Conference of the Association of Physicians of India – Karnataka Chapter, was a grand event held in Hubballi from June 13 to 15. For me, this conference was not just about attending lectures or scientific sessions — it was an opportunity to be actively involved behind the scenes, as a part of the Souvenir Committee.

 

Curating the Souvenir: A Four-Month Journey

I had the privilege of working on the Souvenir Committee alongside Dr. Ramesh Babu Sir and Dr. Rajeev Joshi Sir. Our work began almost four months before the actual event, long before most committees even started their planning. Together, we were tasked with curating and compiling the official souvenir — a unique blend of scientific knowledge, creativity, and community spirit.

We reached out to hundreds of physicians across Karnataka to invite contributions — from scientific articles and case reports to poems, jokes, photography, and more. We also contacted political leaders, educational heads, and institutional authorities for messages and forewords. Another important part of our work was coordinating with pharma and non-pharma sponsors to collect advertisements that helped support the publication.

Editing and formatting each submission, maintaining consistency, and preparing the content for final printing was a detailed process. Since the souvenir had to go to print at least a month before the conference, we had to ensure all materials were finalized well in advance. While most other teams were just beginning their work, we were already finishing ours.

 

 

Learning Beyond Medicine

Being part of this committee gave me an incredible learning opportunity beyond my medical routine. I got to understand the financial planning behind a large-scale event — right from budget allocation and vendor negotiation to coordinating logistics for printing, digital communication, and more. We had multiple committee meetings where every discussion brought new ideas, new challenges, and new solutions.

The conference, which hosted nearly 1800 physicians from across the state, involved extensive planning in terms of travel, accommodation, registration, food, gifting, and hospitality. Every detail mattered — and everything had to go off without a glitch. Being part of the organizing process gave me a deeper appreciation for what it takes to successfully execute an event of this scale.

An Event to Remember

Kapicon 2025 provided an exceptional platform for academic enrichment, networking, and celebration. With 6 KMC credit hours, engaging scientific sessions, expert talks, and cultural programs, the event offered something for everyone.

For me, however, the most fulfilling part was knowing that I had been a part of something meaningful — right from its planning stages to its final applause.

 

Gratitude and Reflection

I am grateful to the organizing committee for giving me this opportunity, and to my mentors and colleagues who supported me throughout the journey. A special thanks to every physician who contributed articles, to sponsors who came forward with advertisements, and to all volunteers who worked quietly behind the scenes.
